Word Formatting After Export: Fonts, Spacing and Margins

Choose a starting layout for work, reading or print, compare actual preset settings, and check fonts and pagination in Word.

How should I choose the formatting for my exported Word document?

Start with General Report for an everyday report. Try Academic Reading when you prefer more generous spacing and margins, or Compact Print for a denser layout. These presets change fonts, sizes, line spacing and margins without rewriting or translating your text. Check the downloaded document before delivery or printing; no preset guarantees a page count or submission standard.

Which preset fits my task?

Your task Starting point Check in Word
A work report or project update General Report Heading hierarchy, paragraph spacing and table widths
Reading notes or a course draft Academic Reading Font availability, white space and any required submission settings
A compact reference or printout Compact Print Small-text readability, wrapping and your actual print settings

These are starting points for the same source content. The tool is not a full Word style editor; use Word for exact character spacing, required templates, complex headers or other document-specific adjustments.

What are the current settings?

These values come from Aitoword's actual presets at this guide's update date. Sizes are in points, line spacing is a multiplier, and the margin applies to all four page sides:

Preset Body size Line spacing All margins
General Report 12 pt 1.5 2.54 cm
Academic Reading 12 pt 1.75 3 cm
Compact Print 10.5 pt 1.15 1.5 cm

Body text and headings use Microsoft YaHei for General Report, SimSun for Academic Reading, and Arial for Compact Print. If a device lacks the requested font, the browser or Word may substitute another one, changing character shapes, wrapping and page count.

If Arial is your preferred starting font, Compact Print uses it, along with its smaller text and tighter spacing. Choosing it changes all of those settings together; it is not a font-only switch. Adjust the final Word document when you need a different combination.

Compare with the same source text

Keep the content unchanged so you can tell formatting differences apart from content differences. Try this example, or include some of your own ordinary paragraphs to judge a longer document:

# Formatting comparison

## Read the same paragraph

Use this sample to compare spacing, margins and heading size with the same source text. Switching presets does not rewrite content. Check the actual fonts and pagination in Word.

## Review checklist

1. Distinguish headings from body text.
2. Check the comfort of reading longer paragraphs.
3. Inspect wrapping and white space before printing.

Apply all three presets to the same source and save with different filenames for comparison.
  1. Open Aitoword and paste the Markdown.
  2. Choose General Report, inspect the preview and download it with a name such as report-comparison.
  3. Keep the source unchanged, choose Academic Reading and Compact Print in turn, and download each with a different filename.
  4. Compare headings, paragraphs, lists, white space and print layout in Word. Choose the version that fits your reading or delivery requirements.

The downloadable example below shows General Report only, rather than all three presets in one file. To compare the others, paste the same example into the tool, switch presets and download their documents separately.

Why do the preview and Word look different?

The preview illustrates formatting using browser layout and available device fonts. Word can substitute fonts and calculate wrapping and pagination differently. Wide tables, long equations and code also affect layout. Use the preview to inspect content and approximate formatting, then check the file in Word on your device. Code blocks intentionally have their own shaded style; changing presets is not a general way to remove a pasted background. See the formatting-problem guide to identify that issue first.

Compact Print uses smaller text, spacing and margins to make the layout denser. It cannot guarantee a specific reduction in pages. Check actual paper, print settings and readability in Word before printing.

Does Academic Reading meet thesis requirements?

It does not certify a school or journal format. It is a combination of font, spacing and margins intended for reading. If you have a required template or submission specification, follow that specification and make final changes in Word.

Before sharing or printing, check the font Word actually uses, confirm important numbers and symbols, and inspect wide tables and page breaks. A denser page is only useful if the result remains readable.

Check the preset selector and explanations in the tool. For preparing source text, see the Markdown conversion guide or the ChatGPT formatting guide. For table cleanup, see the table guide.
